The week, written down properly.

Phystral is for a class-based club: one owner, one set of members, one or many sites. It is the membership, the visit and the money. Door hardware, wearables and a full till can wait.

01 — Access

Sell the way people actually train.

Staff build a product from a template, then set which activities and sites it covers, the cap, the validity and the contract. The same price can apply at every park without a duplicate product per site. A price change creates a new version. Nothing is rewritten in the past.

Recurring
Weekly, monthly or annual. Unlimited, or capped by visits. A hold blocks access and stops eligible future collections.
Prepaid window
Paid up front, for a fixed period, with no auto-renewal. A hold extends the end date by the days that were actually held.
Credit pack
A fixed number of credits. It ends when they are used or when it expires. It does not quietly include on-demand video.
Single visit and fixed term
A one-off, or a membership with an end. Instalments, where you use them, stay visible as obligations rather than disappearing into a status.
Holds and edits
Hold, resume, extend an expiry, cancel, grant free access or correct a credit. Each one names who did it, why, and what it will change before it is applied.

02 — Households

A family is not one login with extra names.

Add a household by inviting the payer and linking each participant. The record shows who pays, who can book, and who can sign, separately. Transferring payment responsibility is dated. It does not move old debts across in silence.

A child does not need an email. An adult accepts delegated access. A guardian’s authority for a child follows the club’s own process. Private health answers stay with the people allowed to see them, including inside the same home.

03 — The visit

Booked, late, walked up, absent, cancelled.

Create a repeating class in the club’s local time, including the mornings the clocks change. Choose the venue, the instructor, the capacity and the booking window, then preview the dates. Edit this session, or edit future sessions, and see which bookings and messages are affected before you save.

Appointments follow availability, time off, buffers and clashes. Courses enrol someone for the whole run, with a missed-session rule and attendance on each date.

Check-in is a phone in the instructor’s hand: large targets, and a clear saved or still-waiting state. Search for someone, add a late registrant, or take a walk-up without leaving the list. After the session, the instructor reconciles one set of people. Undoing a tick keeps the history. Switching phones does not invent a second attendee.

No-show and late-cancel rules are part of the product. A monetary penalty is off until the club opts in.

04 — The desk

Eight places. Nothing extra hiding in a menu named Tools.

Today shows the next sessions with location, instructor, capacity, booked count and actual check-ins as different figures. Beside that: what is due to be collected, what failed, and the mix of active memberships. Staff only see the areas their role allows.

Find a person by name, email, phone or an external id. See home site, attendance, what they can access, credits left, hold dates, the next charge, and who pays. Health and waivers sit apart from the operational history and from the finance permissions.

The payments queue separates a missing method, a mandate that is pending or revoked, a debit that is in flight, a genuine failure, a scheduled retry, travel or a hold, a closed contract, and debt that has been written off. Staff can correct a contact, send a hosted payment link, retry when it is allowed, waive a charge, or snooze a reminder. The reason does not erase the provider’s history.

05 — The member

Browse without an account. Buy without a guess.

Discover
Public timetable: site, local date and time, instructor, price or eligibility, places left, and the cancellation rule. No login required to look.
Join
Choose the product, the participant, the payer, the contract and the forms. Marketing consent is a separate tick. Checkout is hosted. If the browser closes, the status is still recoverable.
Book
Pick the person explicitly on a family account. See the credit it will use. A full class offers the waitlist. Submitting once does not create two places.
Forms
Sign a specific waiver version. Answer health questions for the right participant, with the right signer. A missing or outdated form is visible. The answers are not repeated in the notification.
Account
Recover a login, revoke a device, change who may act for the household, and ask for an export or deletion. Deleting a login does not silently cancel a payment obligation.

06 — In the club’s name

The site, the trial, the inbox, the apps.

Sessions and join links can live on the club’s own domain. Buying opens a hosted payment page and returns to an address the club owns. There is no card form buried inside the timetable.

A trial page is branded by the club and states its purpose. A real submission becomes a contact, with source, site and consent. Spam and rate-limited attempts sit in quarantine. They never appear as signed waivers. Becoming a member follows an active contract and the club’s rule, not a card dragged across a board. The reason for the move is recorded.

Email can be designed: blocks, images, logo, brand colours, a test send. Operational news can also go by push from the club’s app. A chat-style broadcast for park news is in the plan where a provider can do it at a price clubs will actually leave switched on.

Reports cover sales, debt, attendance, no-shows, conversion, class and instructor load, and membership mix. Each can be filtered by location. Staff can ask a plain question of those reports — who came to a free session at one park and did not join — without the software sending a campaign afterwards.

Keys and signed webhooks are there for the timetable, trials and the tools a club already runs. A small shop and gift cards are part of the sellable product. It is not a full till.

07 — Later, on purpose

Not the first door you have to buy.

Turnstiles, wearables, machine login, coaching assessments, trainer chat and a warehouse export are demand-led. An outdoor park often has no door. An indoor chain can ask when it is ready. They are not required to run classes, families and Direct Debit.

On-demand video, if a club uses it through the winter, can sit on the web. It is not bundled into a credit pack, and it is not forced into the phone app until the store rules for digital sales are clear.
